Online and hybrid sessions

Attendance modes explained

ENSŌ supports three attendance modes for your sessions:

  • In-person: Guests attend at your physical location
  • Online: Guests join via a video meeting URL you provide
  • Hybrid: Guests can choose either in-person or online when booking

Setting up an online session

  1. Go to Session Admin and create or edit a Timeslot
  2. In the attendance mode section, select "Online"
  3. Enter your video meeting URL (e.g., Zoom, Google Meet, Microsoft Teams)
  4. Optionally add join instructions (e.g., "No password needed" or "Meeting ID: 123456789")
  5. Save the timeslot

Setting up a hybrid session

  1. Go to Session Admin and create or edit a Timeslot
  2. In the attendance mode section, select "Hybrid"
  3. Enter your video meeting URL for online attendees
  4. Add any special instructions (e.g., "In-person location: Studio Room A")
  5. Save the timeslot

When do guests see the meeting link?

For privacy and security, your video meeting URL and join instructions are only revealed to guests in two places:

  • In their booking confirmation email
  • In their guest dashboard under "My sessions"

The URL is not shown on your public page or in the booking preview. This protects you from Zoom bombing or unwanted attendees.

Hybrid sessions and guest choice

When you offer a hybrid session, guests choose their attendance mode at checkout:

  • In-person choice: Guest attends at the physical location. No online link is sent.
  • Online choice: Guest receives the meeting URL and can attend virtually.

What guests see on your public page

Your public page displays attendance badges to help guests understand your offerings:

  • Online badge for fully virtual sessions
  • Hybrid badge for flexible sessions
  • No badge for in-person-only sessions

The meeting URL is never displayed publicly.

Best practices for online sessions

  • Test your setup: Verify your meeting link works before the session
  • Clear instructions: Let guests know what to expect (camera on/off, audio, materials needed)
  • Start early: Open your meeting 5-10 minutes early to help guests join
  • Recording: If recording, inform guests in your session description or confirmation email
  • Time zone: Be clear about your time zone if you have guests in different regions

Pricing online vs in-person

You can charge the same price for online and in-person attendance, or set different prices if needed. You can see revenue broken down by attendance mode in your Analytics.

Switching attendance modes

You can change a timeslot's attendance mode at any time. For example, if bad weather hits and you want to move an in-person session online, you can:

  1. Edit the timeslot and change the mode to "Online"
  2. Add your meeting URL
  3. Guests will be notified of the change

Why hybrid is powerful

Offering hybrid flexibility increases your reach:

  • Guests who can't travel can still attend
  • Busy professionals can join from their office
  • People with accessibility needs have options
  • You can accommodate last-minute schedule changes
